Mailing List Setup Instructions

First step: Please contact Christian Lagier x3802 [or Tony Caldanaro] to obtain the List creator's (authentication) password. Once you have a password follow these steps.

  1. To create a mailing list on Mailman, you need to use a Web browser and open the list creation page: http://div3lists.smith.edu/mailman/create

  2. In the Name of list: field provide the name of your mailing list. This name is what will proceed the @div3lists.smith.edu email address. Choose wisely.

  3. Enter your email address for the Initial list owner address: section. This will be the List Administrators contact email.

  4. Be sure NO is selected for the Auto-generate initial list password? field.

  5. Enter a secure password for the Initial list password: This will be the List Administrator's password.

  6. Next, confirm initial password.

  7. You can leave the "new members be quarantined" question set to: NO

  8. Leave Language option set to English

  9. Answer Yes for Send "list created" email to list owner?"

  10. Enter the List creator's (authentication) password: provided from CATS

  11. Click on the Create List button (left of center) NOT the Clear Form button.
    (I guess the Mailman creators wanted to see if folks were paying attention)

  12. You should then get an email saying:
    "The mailing list `listname' has just been created for you. The following is some basic information about your mailing list." This email will also contain your List Admin password. KEEP this email for future reference.

List Configuration Tips

If you plan to run a Mailing list (Administer or Moderator) please consult the List Administration Manual provided from Mailman.org for detailed setup instructions.

To continue the setup of your Mailman mailing list use a Web browser and open the list admin page for your specific list. An index of all Admin lists can be found here: http://div3lists.smith.edu/mailman/admin/

For example... http://div3lists.smith.edu/mailman/admin/listname
(where listname is replaced with the list's actual name)

Once you've entered the password and are at the Admininstrative web page interface you should explore all the configuration sections listed as follows:

Most things (>95%) should be left alone. What follows are only the REQUIRED (highly recommended!) changes List Owners need to make in order to provide a uniform consistency to all lists on Div3Lists.

In General Options section

General list personality
The public name of this list (make case-changes only).

The list administrator email addresses. Multiple administrator addresses, each on separate line is okay.

The list moderator email addresses. Multiple moderator addresses, each on separate line is okay. [Set up a moderator]

A terse phrase identifying this list.
[list examples -- see below?]

An introductory description - a few paragraphs - about the list. It will be included, as html, at the top of the listinfo page. Carriage returns will end a paragraph - see the details for more info.

Prefix for subject line of list postings.

Hide the sender of a message, replacing it with the list address (Removes From, Sender and Reply-To fields)

No Yes


Maximum length in kilobytes (KB) of a message body. Use 0 for no limit.
(Edit max_message_size)

Click Submit Button!

Science Center Specific Suggestions

Terse Phrase[in General section]
For ScienceAdmin:
Administrative and facilities issues, e.g. scheduled outages, stockroom news, CATS updates, Science Center policy announcements, etc

For ScienceEdu:
Mailing list for science education and pedagogy; e.g. HHMI, CUR, AAC&U

Subscribing example verbage [in General section]
The purpose of the Geosciences ListServ isn't to flood your mailbox with annoying messages but rather to keep you informed of upcoming Departmental events, 5 College Geology lectures, employment and research opportunities, important deadlines and exciting Geoscience news-headlines.
